ePoster Service from KAUST Library: ePosters advantages

This guide is intended to assist conference organizers at KAUST who want to use ePoster service for their poster competition.

Why use ePosters?

Eposters make submission and conference hosting simpler and more efficient, whilst enhancing the range and display of the content, improving audience engagement with the author(s) and ensuring preservation of posters in the long termThe diagram below summarises the differences between ePosters and print.

 

Specifically, ePosters offer the following advantages:

  • Elimination of printing requirements. No printing is required as posters only exist in electronic format. Cost savings include both the printing costs and mounting costs associated with foam board mounting and covering.  This attribute aligns to KAUST Library’s commitment to digital campus concept, environmental stewardship and green office practices.
  • Author ability to update posters. Unlike printed versions, ePosters can be updated online until a predetermined time nominated by the event organizers. This provides an extended timeframe over printed posters during which authors can proof, edit and/or introduce new content.
  • Zoom functionality. Authors can include high quality images that would have been too small to comfortably view on a printed poster but, when coupled with the zoom functionality within the ePosterslive system can be enlarged as needed. 
  • Multimedia/ hyperlinks.  Audio and video files can be accommodated for on-demand display within a poster. These files are stored in the research repository to fully capture the experience and content of the presented poster. Hyperlinks allow easy access to related materials available on the Internet, and are particularly useful for References.
  • Website access.  Every ePosterslive conference has a corresponding website that contains all the poster information, including the schedule. By arrangement with the conference organizers, this can be made publically available to allow attendees to view posters on any device rather than having to wait until they are physically at the conference venue. Also, authors can be emailed directly via this system.
  • Deposition of posters in KAUST Research Repository. ePosterslive has demonstrated the ability to download the metadata associated with the Adobe Acrobat (.pdf) version of a poster and transfer all content to the KAUST Research Repository. By arrangement, the system could capture posters that are printed as electronic versions ensuring comprehensive deposition of all posters presented at KAUST.
  • Space savings. Displaying posters using grids requires a much larger floor area to be available than is required if ePosters are used. By employing different modes of presentation, any number of posters can be successfully displayed on a screen occupying the same area as a grid.
  • Compatible with multiple devices. All ePosters are able to be viewed on multiple devices including desktop computers, mobile phones, and tablets in addition to the display screens. By arrangement with the conference organizers, viewing by event participants and/or judges can occur in advance of the scheduled session. This permits individuals to have the time to choose the posters they wish to pursue in greater depth and/or contact author(s) directly via email hyperlinks.
  • Voting capabilities. Both on-site and remote voting can be accommodated through the website and mobile devices. In addition to prizes awarded by the judges, this function affords potential for ‘audience choice’ awards.
  • Statistics and reporting. Each ePosters event is accompanied by a dashboard that provides statistics and reports for the event organizers, from the commencement of the submission process to ongoing poster views of the website.
